EXV Travel Services
Welcome to EXV Travel Services ("EXV Travel," "we," "us," or "our").
EXV Travel is a luxury travel management and VIP concierge agency specializing in entertainment travel, music touring, film and television production travel, corporate and executive travel, private aviation arrangements, and personalized travel experiences.
These Terms of Service ("Terms") explain the conditions governing use of our website and the travel-related services we provide.
By using our website, you agree to the provisions applicable to website use. When you request and authorize a travel booking, you also agree to the booking-specific terms and supplier conditions properly disclosed to you before purchase.
Our commitment is to deliver professional, discreet, and personalized travel assistance while maintaining transparent business practices.
Nothing in these Terms limits consumer protections or legal rights that cannot lawfully be waived.
EXV Travel Services operates as an affiliate of New Act Travel.
Depending on the travel arrangement, reservations may be processed, ticketed, or fulfilled through New Act Travel, participating travel suppliers, global distribution systems, or other authorized travel partners.
The responsible booking or contracting entity will be identified in the applicable transaction documentation.
EXV Travel primarily acts as a travel advisor and intermediary between clients and independent travel service providers.
Unless otherwise expressly agreed, EXV Travel does not directly operate commercial airlines, hotels, resorts, cruise ships, or aircraft.
The responsibility of independent suppliers for delivering their respective services is governed by applicable law and their contractual obligations.
EXV Travel remains responsible for its own services, representations, actions, and obligations as required by law.
EXV Travel provides travel advisory, planning, reservation, and concierge services, which may include:
Availability of individual services may vary according to destination, supplier participation, operating conditions, and contractual arrangements.
Certain travel services may require separate agreements, additional authorizations, or supplier-specific terms.
All reservations are subject to availability, applicable supplier conditions, and confirmation.
A quotation or proposed itinerary does not constitute a confirmed reservation.
Prices, schedules, accommodations, aircraft availability, and other travel arrangements may change before confirmation.
Clients or their authorized representatives must approve the applicable travel arrangements and charges before purchases are finalized.
Authorization may be provided through an accepted written communication, approved booking platform, signed authorization, or another legally valid method.
Clients arranging travel for employees, entertainers, family members, production teams, or other travelers represent that they have the authority to make the relevant arrangements and approve applicable expenses.
A reservation is confirmed only when the applicable supplier or authorized booking entity issues confirmation.
Ticketed airline reservations are subject to the terms and conditions associated with the specific ticket.
Clients are responsible for providing accurate and complete traveler information, including legal names, travel dates, required identification details, and other information necessary to complete a reservation.
Travelers should review confirmations promptly and report inaccuracies as soon as possible.
Incorrect passenger names, dates, destinations, or identification information may require corrections, cancellations, or rebooking.
Supplier charges, fare differences, and availability restrictions may apply.
EXV Travel will make reasonable efforts to resolve reported discrepancies.
Where an error results from EXV Travel's own conduct, responsibility will be determined under applicable law and the relevant agreement.
EXV Travel is committed to providing clear and transparent pricing.
Where prices are advertised or quoted, mandatory fees and charges will be included in the displayed total to the extent required by applicable law. Any permitted separately stated government taxes or other charges will be identified appropriately.
Before purchase, clients will be informed of applicable booking charges, payment obligations, and material conditions.
EXV Travel may receive commissions or compensation from participating travel suppliers and industry partners.
Additional agency service fees, where applicable, will be disclosed and agreed upon as required before they are charged.
Certain corporate clients may have individually negotiated arrangements, trial periods, or alternative service-fee structures.
These arrangements will be governed by their respective written agreements.
EXV Travel does not guarantee that a previously quoted price will remain available before a reservation is confirmed.
Additional costs may arise from client-requested changes, optional services, supplier-imposed charges, or circumstances permitted by applicable law.
No additional EXV Travel agency fee will be imposed without the required disclosure and authorization.
By authorizing a reservation, the client authorizes the designated merchant or payment processor to charge the approved amount.
Depending on the reservation, payment may be processed by the applicable airline, accommodation provider, charter provider, New Act Travel, EXV Travel, or another identified authorized merchant.
Clients must use payment methods they are legally authorized to provide.
Corporate accounts are responsible for purchases properly authorized under their applicable agreement.
Required deposits, remaining balances, and payment deadlines will be communicated before the relevant booking commitment.
Failure to complete an agreed payment may result in cancellation or loss of availability, subject to the disclosed terms and applicable law.
Payment card disputes, suspected unauthorized charges, and billing concerns should be reported promptly so that the appropriate parties can investigate.
Nothing in these Terms restricts rights to dispute charges or obtain legally required payment protections.
All travel arrangements are subject to the applicable cancellation and modification conditions disclosed before booking.
These conditions vary according to supplier, destination, rate category, fare rules, and other reservation requirements.
Airline tickets may be refundable, partially refundable, nonrefundable, or eligible for future travel credits, depending on applicable fare rules and law.
Voluntary changes may result in fare differences, supplier charges, or other restrictions.
Accommodation cancellation policies vary.
Certain discounted, prepaid, promotional, group, and specialty reservations may have stricter cancellation requirements.
Large group bookings, hotel room blocks, and production-related reservations may have separately negotiated cancellation deadlines, minimum commitments, and attrition provisions.
Charter reservations may involve special deposits, cancellation deadlines, repositioning costs, and other contractual obligations described in the applicable charter agreement.
Clients should contact EXV Travel as soon as cancellation or modification becomes necessary.
A cancellation or change request does not itself guarantee successful cancellation or a particular refund amount. Applicable supplier rules, notice requirements, and statutory rights will determine the result.
EXV Travel will make reasonable efforts to communicate requests promptly and provide available options.
Cancellation charges will be imposed only when permitted by applicable law and properly disclosed and agreed upon.
EXV Travel respects the refund rights established by applicable travel and consumer protection laws.
Refund eligibility depends on the nature of the purchase, the circumstances of cancellation, governing supplier terms, and applicable legal requirements.
Airline passengers may be entitled to refunds when an airline cancels or significantly changes a covered flight and the passenger does not accept alternative transportation or another qualifying form of compensation.
When a refund is legally required, the responsible airline, ticket agent, or merchant must process it in compliance with applicable law.
EXV Travel will perform any refund responsibilities legally applicable to it and will assist clients with supplier refund inquiries as appropriate.
Clients will not be required by these Terms to accept travel credits or vouchers in place of a refund to which they are legally entitled.
Airline travel credits and vouchers may carry restrictions, eligibility conditions, and expiration dates, subject to applicable law.
Where included in a client's service arrangement, EXV Travel may assist with monitoring and managing eligible unused airline tickets and credits.
We cannot guarantee that an airline will extend an expired credit, permit a name change, approve a transfer, or waive its published restrictions.
The United States airline 24-hour reservation or refund requirement does not automatically apply to tickets purchased through travel agencies.
Any applicable agency cancellation option will depend on the specific reservation, supplier policies, and governing law.
EXV Travel offers personalized travel assistance, including support with itinerary changes, delays, cancellations, and unexpected travel disruptions.
Our concierge services are designed to help clients navigate travel challenges efficiently.
We make reasonable efforts to assist clients with contacting suppliers, evaluating alternatives, and coordinating revised arrangements.
However, EXV Travel does not control airline schedules, aircraft operations, airport restrictions, government decisions, weather, or independent supplier performance.
Emergency assistance does not guarantee immediate resolution, alternative availability, or exemption from supplier charges.
Any legally required refund, assistance, or compensation remains governed by applicable law.
EXV Travel may facilitate access to private aviation through independently operated charter brokers and authorized air carriers.
EXV Travel is not itself an aircraft operator and does not exercise operational control over aircraft.
Actual air transportation is provided by the applicable authorized carrier.
Where charter brokerage services are provided, the responsible charter broker will provide disclosures required by applicable law, including information about its role, the operating carrier, and other required matters.
Private aviation bookings may involve separate written agreements covering:
Aircraft operations and safety decisions remain within the authority of the applicable operating carrier.
All private aviation services remain subject to applicable aviation laws and regulations.
Any rights to disclosure, cancellation, refunds, or other remedies established by those laws remain unaffected by these Terms.
EXV Travel provides specialized travel management for corporate executives, music artists, entertainment professionals, touring productions, film and television projects, and other organizations.
Business clients may designate authorized travel arrangers to coordinate reservations on behalf of their personnel.
Organizations are responsible for establishing appropriate internal booking authorizations, payment approvals, and traveler information procedures.
Production and group travel may involve negotiated rates, room blocks, passenger manifests, ticketing deadlines, and special logistical requirements.
Any agreed service levels, dedicated personnel arrangements, group conditions, or negotiated cancellation terms will be governed by the relevant written client agreement.
EXV Travel will make reasonable efforts to accommodate urgent changes, complex travel schedules, and specialized requirements.
However, arrangements remain subject to supplier availability and operational constraints.
EXV Travel recognizes the importance of privacy, discretion, and confidentiality for all clients, particularly those whose professional or personal circumstances require enhanced sensitivity.
We handle confidential traveler information with care and seek to restrict access to individuals and providers with a legitimate business need.
Sensitive information may include:
EXV Travel will not intentionally publish or use nonpublic client itineraries or private travel information in promotional materials without appropriate authorization.
Information may be disclosed when necessary to perform requested services, meet legal obligations, or satisfy lawful requests.
Although we maintain appropriate confidentiality practices, we cannot guarantee the security or conduct of every independent travel supplier or third-party system.
Further information about our data handling practices is provided in our Privacy Policy.
Travelers are responsible for ensuring they possess the required documentation and meet applicable entry and transit requirements.
This may include passports, visas, electronic travel authorizations, vaccinations, health documents, or other required identification.
Requirements may change according to destination, nationality, itinerary, transit locations, and government policies.
EXV Travel may provide general information or direct travelers to official sources.
However, information provided by our travel specialists does not constitute immigration or legal advice.
Travelers should confirm documentation requirements with the relevant authorities.
EXV Travel is not responsible for consequences caused solely by a traveler's failure to satisfy properly applicable travel requirements, except where liability arises from EXV Travel's own legally actionable conduct.
EXV Travel recommends that clients consider appropriate travel insurance before departure.
Available coverage may include trip cancellation, interruption, emergency medical expenses, evacuation, baggage-related incidents, and other covered travel risks.
Insurance coverage is determined by the applicable policy and insurance provider.
Insurance terms, exclusions, deductibles, and claim requirements should be reviewed carefully before purchase.
EXV Travel does not guarantee insurance coverage, claim approval, or reimbursement of a particular loss.
Where insurance products are offered, the applicable insurance provider and any licensed intermediary will be identified as required.
EXV Travel coordinates services delivered by independent travel providers.
These may include airlines, hotels, resorts, charter operators, ground transportation companies, cruise lines, and destination management providers.
Each supplier may have its own rules, service obligations, and operational responsibilities.
Where EXV Travel acts as a disclosed intermediary, the relevant supplier remains responsible for performing its contracted services.
EXV Travel is not automatically responsible for independent supplier actions outside its reasonable control.
However, EXV Travel remains responsible for its own negligent acts, misrepresentations, contractual breaches, and other legally actionable conduct as required by law.
Nothing in these Terms limits rights or remedies that applicable law makes nonwaivable.
Travel plans may be affected by circumstances outside EXV Travel's reasonable control, including severe weather, natural disasters, government restrictions, public health emergencies, civil disturbances, labor disruptions, transportation interruptions, or security incidents.
In these circumstances, EXV Travel will make reasonable efforts to communicate with affected clients and assist in arranging available alternatives.
Changes may involve additional supplier charges or travel expenses, subject to applicable law and disclosed contractual terms.
Such events do not automatically eliminate obligations to issue legally required refunds or provide other statutory remedies.
Clients agree to use EXV Travel's services lawfully and provide truthful booking information.
Clients must not engage in fraudulent transactions, knowingly provide false identification, or attempt to obtain unauthorized access to another person's traveler information.
EXV Travel reserves the right to decline or discontinue services where lawful and reasonably justified by fraud, serious misconduct, security concerns, or material contractual violations.
Any discontinuation of services will remain subject to applicable refund rights and existing contractual obligations.
The EXV Travel website and its original content, branding, logos, text, graphics, and related materials are protected by applicable intellectual property laws.
Visitors may access the website for lawful informational and business purposes.
Unauthorized reproduction, commercial exploitation, or distribution of protected material is prohibited except as permitted by law or with appropriate authorization.
Users must not attempt to disrupt website functionality, introduce malicious software, or access restricted systems without permission.
Information on our website is provided for general informational purposes.
Travel information, descriptions, and availability may be updated as circumstances change.
EXV Travel makes reasonable efforts to maintain accurate website information but does not guarantee that every third-party detail will remain unchanged.
EXV Travel strives to deliver professional travel management and reliable client support.
To the maximum extent permitted by applicable law, EXV Travel will not be liable for losses caused solely by circumstances outside its reasonable control or by independent providers for whose actions EXV Travel is not legally responsible.
In commercial transactions, and except where prohibited by law or superseded by a written agreement, EXV Travel will not be responsible for indirect or consequential business losses arising solely from circumstances for which it has no legal liability.
Nothing in these Terms excludes or restricts liability for fraud, willful misconduct, legally actionable negligence, or other conduct for which liability cannot lawfully be limited.
Nothing in this section waives statutory refund rights, consumer protections, or remedies guaranteed by applicable law.
Where a transaction is subject to California's Seller of Travel Law, EXV Travel and the applicable registered selling entity will provide the disclosures required by law.
These may include information regarding the responsible seller, registration number, itinerary, supplier details, total pricing, payment obligations, cancellation conditions, and any applicable customer payment protections.
Any required disclosure concerning a trust account, surety bond, consumer protection arrangement, or participation in the California Travel Consumer Restitution Fund will be provided based on the actual registration and protection arrangements of the responsible seller.
Required transaction-specific disclosures will be provided before accepting payment where the law requires.
California seller-of-travel registration does not constitute approval by the State of California.
These general website Terms do not replace the individual transaction disclosures required by California law.
EXV Travel aims to address client concerns promptly, fairly, and professionally.
Clients who experience booking, payment, service, or cancellation problems are encouraged to contact our team with the relevant reservation details.
We will make reasonable efforts to investigate concerns within our control and communicate with suppliers when appropriate.
These Terms are governed by California law, except where federal law, mandatory consumer protections, or other applicable legal requirements provide otherwise.
Disputes will be addressed in a court or other forum having lawful jurisdiction, unless the parties have separately entered into a valid and enforceable dispute-resolution agreement.
Nothing in these Terms requires arbitration or waives the right to participate in a class action.
Nothing restricts clients from contacting regulatory authorities or exercising rights available under applicable law.
Certain corporate accounts, production clients, and other business relationships may operate under separately negotiated service agreements.
These agreements may address:
Where an executed agreement conflicts with these Terms, the executed agreement controls to the extent of that conflict, subject to applicable law.
Supplier-specific terms and mandatory legal disclosures remain applicable to individual travel arrangements.
EXV Travel may update these Terms to reflect changes in business operations, services, technology, supplier relationships, or applicable legal requirements.
The revised Terms will be published on our website with an updated effective date.
Any changes will generally apply prospectively.
Confirmed reservations and previously agreed contractual obligations will not be modified retroactively unless permitted by applicable law and the governing agreement.
Where legally required, additional notice or consent will be obtained.
If a provision of these Terms is determined to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
These Terms, together with applicable booking-specific conditions, required disclosures, and separately executed service agreements, constitute the relevant terms governing the services to which they apply.
They do not override independent supplier obligations or mandatory consumer protections.
